Business contacts

If you work with us, or we meet you at an event, we may also hold your work contact details. We use them to manage the relationship and, where you’d expect it, to send you relevant updates about our work. You can opt out of those updates at any time by contacting us.

Cookies

Cookies are small files stored in your browser. We only set cookies that aren’t essential if you agree through our cookie banner. You can change your choice at any time using the cookie icon at the bottom of every page. CookieYes keeps a record of your choice so we can show we asked.

Category Provider Purpose Typical duration
Necessary CookieYes (cookieyes-consent) Remembers your cookie choices 1 year
Necessary Google reCAPTCHA (_GRECAPTCHA) Protects forms from spam 6 months
Analytics Google Analytics (_ga, _ga_*) Counts visits and shows how the site is used Up to 2 years
Advertisement Google Ads (_gcl_au and related) Measures whether our ads lead to enquiries and lets us show ads to past visitors Up to 90 days

We use Google Consent Mode. If you decline analytics or advertising cookies, Google tags do not set those cookies, but they still send Google a basic record of each page you view, without cookies or an identifier that persists between pages. Google uses these records to estimate visits in aggregate.

Some pages embed videos from Vimeo. We load them in Vimeo’s do-not-track mode, so Vimeo shouldn’t set tracking cookies. Vimeo still receives your IP address when the video loads.

You can also block or delete cookies in your browser settings. Blocking necessary cookies may stop the contact form working.

Who we share data with

We don’t sell your data. We share it only with the suppliers who help us run the site and our business:

  • Akamai (London) — hosts the website and form submissions
  • Google — analytics, advertising measurement and reCAPTCHA
  • CookieYes — cookie consent management
  • Vimeo — embedded video
  • Microsoft 365 — email, where enquiries are received and handled

These suppliers act on our instructions or under their own privacy terms where they’re an independent controller (as Google is for some advertising data). We may also disclose data if the law requires it.

International transfers

Some of these suppliers, including Google, process data outside the UK. Where they do, we rely on UK adequacy regulations or the International Data Transfer Agreement or Addendum to protect it.

How long we keep it

  • Enquiries and business contacts: We keep information while handling your enquiry or maintaining an active business relationship. We consider whether further contact is reasonably expected and whether the information remains relevant to that relationship.
  • Client records: We keep information needed to provide our services during the relationship. Afterwards, we retain relevant records to meet accounting and legal requirements and to establish, exercise or defend legal claims. Accounting records are generally retained for six years from the end of the financial year they relate to.
  • Personal information handled on behalf of clients: Where we act as a data processor, we retain, return or delete this information in accordance with our agreement with the client and their instructions.
  • We regularly review the personal information we hold and delete or anonymise it when it is no longer needed.
  • Google Analytics data: 14 months, then deleted automatically
  • Cookie consent record: 1 year

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the data we hold about you
  • correct it if it’s wrong
  • delete it
  • restrict or object to how we use it, including for marketing
  • move it to another provider
  • withdraw consent, where we rely on it, at any time

Email [email protected] to use any of these rights. We’ll respond within one month.

If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
